Updated on May 31, 2022
We recently filed for VAT and received confirmation that the registration was approved and a VAT number was issued.
The HMRC VAT number checker indicates that one of our clients’ VAT numbers is invalid.
As a result, we’ve contacted the VAT help desk to inquire about the matter. There is still no end in sight to this problem
Can we use this VAT number to increase VAT invoices in the future?
If we don’t, should we still be charging VAT to our customers?
Greetings and best wishes.
I recommend calling our Helpline at 03002002700 to discuss this, since this needs to be taken care of immediately.
In some cases, it may take a few days for the new VAT number to appear on the systems.
However, it should just take a few days.
This page is the best place to look for it:
Obtain a UK VAT number
Until we find a solution to this problem, I recommend charging VAT and using the VAT number as usual.
Please accept my sincere appreciation.

On the VAT certificate that you received in the mail, what was your VAT number?
No VAT returns can be filed without access to the Government Gateway; if you do not already have the paper copy, you can check your VAT certificate on the gateway.
In the event of a problem with the database, you cannot simply stop charging VAT because you are VAT registered. Not only will you be subject to fines and penalties if you stop collecting VAT from your consumers, but you’ll also have to contact them in the future, which could be a hassle.
It’s common for the VAT number checker to take a few minutes to update when a new VAT number is provided (often around a week). In the event that HMRC asks why you were using the wrong VAT number, let them handle the issue. You have documented a call, so HMRC will have a record of it and there should be no issue in the future.
However, you can utilise the number on your VAT certificate as a remedy here; if the VAT checker turns out to be incorrect, there isn’t much else you can do.

In answer to your questions.
1) The number sent through the post is the invalid number.
Our Government Gateway account can’t be linked with the phone number since it is invalid (therefore we cannot file VAT returns).
In October of 2021, the VAT registration was authorised by the European Commission.
This is still the case with the VAT On-line Checker.
A issue has been identified, but no solution has been found by the Helpline (after a 35-minute wait) (now over 2 weeks).
As a result, we will continue to charge VAT and to do so with an invalid VAT identification number.

As stated earlier I would recommend continuing to charge vat using that vat number.
This is a public forum so I am unable to take your vat number so I would highly recommend speaking to our Helpline on 03002003700
so that we can get to the bottom of this as soon as possible.
Apologies but the lines are very busy today due to the deadline for vat returns but tomorrow should be a little quieter.

We have now been issued with a new VAT Number.
However, we have been issued with an assessment under the invalid VAT number which we have paid (it is far more than VAT that we collected). It there seems to be no way to file a return for this number as the number is not recognised on-line and we are told that paper returns are no longer accepted.
Please advise how we can resolve this problem.

I would suggest speaking to our Helpline about this.
If you have been issued with a new VAT number then we will need to cancel the old one and as the number is not recognised I can’t imagine there will be a need to file any returns against it as this just doesn’t seem to be possible.
Please call the Helpline on 03002003700.
